Role Purpose
The role will be responsible for delivering exceptional Front of House & Workplace Experience services in our London office.
Our Front of House & Workplace Experience team play an integral role ensuring our offices and services are well designed, fit for purpose, compliant, sustainable, and cost-effective. Working as part of a highly skilled & collaborative team, each team member should deliver an exceptional service whilst using innovation to proactively multi-task in a fast paced, evolving, and exciting environment.
For this highly visible role, the successful candidate will need to be a self-starter and demonstrate a focus on high attention to detail, initiative, an ability to work under pressure, a willingness to help others and a positive can-do attitude.

Key responsibilities:
- Working as a key contributor to a highly skilled Front of House team, supporting the business to ensure a smooth and efficient client journey from arrival, during their visit and through to their departure whilst maintaining a professional and welcoming environment for all visitors.
- Supporting the business by assisting with the preparation and implementation of internal or external events (pitches, meetings, events) ensuring rooms and facilities are presentable and in good working order to meet client requirements. This will include moving and setting up furniture for pitches - due to the nature of such tasks, there is a high-level of manual handling and heavy lifting required.
- Client Hospitality:
- Working with stakeholders to ensure meeting rooms and facilities are presentable and in working order for the client requirement.
- Responsible for supporting the business in maximising the efficiencies of Front of House services.
- Working with internal stakeholders and clients to support the Hospitality delivery functions ensuring orders are placed in advance and proportionate to the numbers attending.
- Managing client visits and meeting room bookings to minimise client conflict is an important part of this role and the success of our business.
- Sorting, scanning and delivery of post, parcels, and general deliveries to our buildings and externally.
- Collecting and processing all outgoing post.
- Management of couriers.
- Continually strive to find ways to reduce incoming mail and supporting our ISO:14001 & ISO:27001 accreditations.
- Updating of systems re starters/leavers/movers.
- Carry out routine H&S checks throughout our buildings including weekly floor walks reporting on slips, trips and hazards or any other H&S issues.
- Continuously support the safe environment for employees and visitors to our buildings by having regard for all Health and Safety legislation, plus company policy and procedures.
- Ensuring our procedures, policies and systems are implemented and reviewed to ensure our offices and services meet business objectives. This will include supporting agile working practices e.g. assisting with the implementation and management of the various locker systems.
- To take responsibility for the presentation of Front of House facilities and services, where necessary liaising with the wider Workplace Experience function to ensure our services are of a suitable standard and looking for improvements in how we work.
- To provide multi skilled cover and support for the Facilities Helpdesk, ensuring delivery against internal SLA.
- Being the voice of our business, connecting client calls to the correct individuals in a professional and efficient manner, assisting with any enquiries whilst adhering to company policies.
- Contribute to the overall performance of the Workplace Experience team and its ongoing continuous improvement.
- Representing the business as a DSE Assessor, First Aider and/or a Fire Marshal (training can be provided).
- Solid administrative skills with close attention to detail.
- Strong customer service skills.
- IT skills and a good understanding of Outlook and MS Office.
- Professionally presented and well mannered.
- Attentive to client/customer service needs.
- Must be a self-starter and use initiative.
- This is a permanent role
- The team is based in London and work 8.30 am to 5pm Monday to Friday from our office in NW1.
