Part-Time Medical Receptionist & Administrator£25,500–£27,000 per annum - pro rata, based on a 40-hour week to £15,300 to £16,20024 hours per week – Mondays, Tuesdays & Fridays (8am–5pm)

We are recruiting on behalf of our client The Westminster Physiotherapy and Pilates Centre located in the heart of Victoria. The clinic is seeking a part-time Medical Receptionist and Administrator to join their friendly and professional team. This is an excellent opportunity for someone with a positive attitude who is eager to learn and become a long-term part of a supportive clinical environment. Full training and ongoing support will be provided.

Key Responsibilities:

  • Front of house reception duties – welcoming clients and creating a positive first impression
  • Managing phone and email enquiries
  • Assisting patients with bookings and directing them to the appropriate clinician
  • Supporting Physiotherapists, Pilates Instructors, Massage Therapists and Nutritionists
  • Opening and closing the clinic
  • Taking payments and handling billing processes
  • Using the clinic’s online practice management system
  • Liaising with insurance companies (billing and reporting)
  • Uploading and filing patient notes and reports
  • Coordinating with consultants and GPs
  • Maintaining confidentiality of patient and clinic data
  • Monitoring stock and supplies
  • Ensuring the clinic environment remains clean, tidy, and welcoming

Essential Requirements:

  • A minimum of 2 years’ experience in a medical administration role

Desirable Attributes:

  • Experience using TM3 (preferred but not essential)
  • Strong customer service and communication skills
  • Team player with a proactive and adaptable attitude
  • Reliable, organised, and efficient
  • Friendly, polite, and empathetic
  • Confident using IT systems and quick to learn new software
  • Excellent verbal and written English skills
