What you’ll be doing
Not only will you be managing your Execs complex schedules by delivering world class EA support, but you will have the opportunity to drive strategic projects and help shape how the team operates cross functionally.
You’ll play a vital role in helping our COO and CMO stay focused, aligned, and effective while also acting as a connector and enabler across the broader team. You won’t just be behind the scenes, you’ll be a visible, valued part of how we operate. Your responsibilities will include -

What you’ll be doing

You’ll play a vital role in helping our COO and CMO stay focused, aligned, and effective while also acting as a connector and enabler across the broader team. You won’t just be behind the scenes, you’ll be a visible, valued part of how we operate. Your responsibilities will include -
- Complex diary management – scheduling and updating multiple fast-moving diaries.
- Meeting coordination – Attending key team meetings with the COO and CMO - preparing agendas, supporting materials, minutes, and follow ups on key actions.
- Administering cross-functional meetings, ensuring all participants are prepared.
- Owning inbox and information flow – ensuring emails are prioritised efficiently and relevant team members are continuously kept in the loop.
- Coordinating seamless travel itineraries and managing expenses.
- Planning and delivering high-impact internal and external events.
- Serving as a key point of contact for internal and external stakeholders, acting with professionalism, warmth, and discretion.
- Producing high-quality documents and presentations, research and briefing docs.
- Partnering across the business - building strong alignment between your Execs and their Senior Leadership teams to help them to achieve goals.
- Skillfully tracking and helping coordinate cross functional projects.
- Keeping a pulse on the wider business strategy - using insight and initiative to prioritise, problem-solve, and add value to operations.
- Minimum of 5 years’ experience providing seamless strategic support at Exec Director/C-Suite level, ideally in a high growth environment.
- Excellent communication and interpersonal skills - you will use your emotional intelligence, know how to build trust, manage upwards, and bring clarity to complexity.
- You have a positive, collaborative, and approachable attitude with a genuine interest in being part of a supportive, values-driven leadership team.
- You effortlessly coordinate time-poor executives, with a sharp understanding of their priorities and the confidence to make smart diary decisions.
- A rapid and decisive problem-solver on practical matters. Skilled in identifying bottlenecks in workflow and implementing solutions.
- Understands the importance of continuous research and remains curious.
- You anticipate needs before they arise through years of learning on the job.
- Tech-savvy and adaptable to new tools and systems (i.e Teams, Slack, project management platforms and Ai tools).
- Proven strategic project management experience.
