Provide administrative support to onsite staff and the Office Manager in our London office. Duties include phone coverage, general clerical work, client services, and project-based assignments. Through in-person and phone interaction, project a professional company image.
Duties And Responsibilities
- Answer multi-line telephone system, forward calls when appropriate, otherwise handle using own judgment.
- Welcome visitors, show them to the conference room, and prepare beverages.
- Assist with light travel and meeting scheduling as needed.
- Distribute all mail and packages and assist professionals with all outgoing mail (e.g., Fedex packages, general mail, etc.).
- Ensure confidential materials are placed in shredding cabinets and order pick-up of shredding sacks as needed.
- Order, maintain and organize all stock of office supplies.
- Assist with team lunches, holiday parties, and yearly office group invitations.
- Ensure the kitchen is tidy and all appliances and water systems are in good working order; book maintenance if necessary.
- Keep the coffee machine clean and stocked with coffee.
- Order and stock groceries, keeping cupboards tidy.
- Handle laundry order pick-ups and put away towels.
- Other duties may be assigned as needed.
- 1+ years of professional office experience is highly desired.
- Attention to accuracy and detail.
- Organized, able to set priorities, and multi-task.
- Adhere to detailed procedures needed for office operation.
- Self-sufficient, self-motivated, takes initiative.
- Reliable attendance and completion of office duties.
- Excellent communication skills.
- Able to develop and maintain professional working relationships.
- Intermediate Word and Excel skill level.
- Position involves walking, carrying, lifting, pushing, bending, and reaching.
- Flexible work format and collaborative yet autonomous culture.
