Admin Assistant

Location: London

Salary: £29,000 per annum

The Role

To ensure effective administration of Finance Dept, Fabric Dept & Directors.

Key Responsibilities

General:

  • Raise & close quotations and job sheets
  • Check timesheets, tracking for JP & wages
  • Filing & Admin - Maintain tidy folders and ensuring sensitive data remains private
  • Reconciling receipts with credit card statements
  • Parking fines; paying/appealing them for all registered vehicles, setting up parking apps for staff and paying for vehicle tax
  • Prepare purchase orders, purchasing materials and supplies directly from suppliers, and via website orders – following up on delivery dates with suppliers and distributing/notifying departments of there deliveries
  • Ensuring stationery, office water, topping up docmail and boardroom are well stocked and maintained

Directors:

  • Diary entries for directors
  • Compile asset lists as required
  • Organizing entertainment & boardroom facilities
  • Personal admin upon request

Personal Responsibilities:

  • To present a professional image at all times, both in the office and to clients.
  • To be willing to work in excess of usual working hours when the balance of the company’s work or allocated responsibilities requires this. They do not expect excessive working hours, rather they require flexibility when there is a clear benefit to the company.
  • To understand the consequences of your actions for the company and to actively share responsibility with the managers for the success of the company.
  • Ensuring a positive relationship is maintained between the company and suppliers

Skills and Qualifications

  • PMS: Full use of PMS consisting of:
    • Raising quotations & job sheets
    • Raising purchase orders
  • Computer literate – Basic Word / Excel at intermediate level.
  • Good numeracy & literacy
  • Financial awareness.
  • Good Customer Service Skills.
  • Good communication skills.
  • To be able to work unsupervised.
