The Executive Assistant is essential in enabling the Head of Sectors, Managing Director, to focus on high-level strategic tasks by efficiently managing day-to-day administrative and organisational responsibilities. Role Purpose
The Executive Assistant is essential in enabling the Head of Sectors, Managing Director, to focus on high-level strategic tasks by efficiently managing day-to-day administrative and organisational responsibilities. This support is crucial for the effective functioning and success of the executive's role and the broader organisation.
Key Responsibilities
Administrative Support
- Provide comprehensive administrative assistance to the Head of Sectors Managing Director.
- Manage the executive's calendar, schedule meetings, and coordinate appointments to optimise time management.
- Communication Management
- Handle all incoming and outgoing communications, including emails, phone calls, and messages.
- Draft, review, and respond to correspondence on behalf of the Managing Director.
- Meeting Coordination
- Prepare agendas, materials, and presentations for meetings.
- Take detailed notes during meetings and follow up on action items to ensure they are completed.
- Travel Arrangements
- Plan and organise travel itineraries, including booking flights, accommodations, and transportation.
- Manage travel-related expenses and ensure timely reimbursement.
- Organise and maintain files, records, and documents, ensuring they are easily accessible and securely stored.
- Prepare reports, presentations, and other documents as needed.
- Assist in the planning and execution of projects, tracking progress and ensuring deadlines are met.
- Provide support in research and data analysis for various projects.
- Handle sensitive information with the utmost confidentiality and discretion.
- Act as a trusted advisor and gatekeeper for the Managing Director.
- Build and maintain relationships with internal and external stakeholders.
- Represent the Managing Director in interactions with clients, partners, and team members.
- Understand the Managing Director’s goals and priorities to provide strategic support.
- Align tasks and projects with the overall business strategy.
- Organise and coordinate events, conferences, and meetings.
- Ensure all logistical aspects are handled smoothly and efficiently.
- Strong interpersonal skills
- Ability to prioritise and co-ordinate tasks efficiently and under pressure ensuring all deadlines are met
- Accurate and exceptional attention to detail
- Pro-active and enjoys working autonomously and as part of a wider team
- Confident and assertive where required
- Understands and appreciates the importance of using discretion
- Flexible approach to work
- Team player who deals effectively with colleagues and clients
- Self-motivated while working as part of an energetic and enthusiastic team
- Experience gained from working within Financial Services of Real Estate
- Excellent PowerPoint Skills
- Strong organisational and administration skills
- Good IT skills (Word, Excel, MS Outlook).
- A strong academic background with bachelor’s or post-graduate degree preferably with a specialisation in real estate and/or finance
- Strong cash flow modelling and risk analysis skills
- Exceptional communication skills, both verbally and in writing
- Transactional/project experience, ideally in the real estate sector
