ROLE: Executive Assistant - 12 month FTC (Maternity cover)
SALARY: £50,000 - £55,000
LOCATION: Shoreditch, London
A dynamic and design-led architecture practice with global studios is seeking a highly capable Executive Assistant to support their Founder & CEO. This is a pivotal role at the heart of the business, offering a unique opportunity to work closely with senior leadership while also contributing to the cultural and operational rhythm of a vibrant creative environment.
The ideal candidate will be proactive, detail-oriented, and capable of juggling executive assistance, business development coordination, and personal support duties with confidence and discretion.
Key Responsibilities:
- Provide high-level EA support to the CEO, including diary, travel, and inbox management
- Prepare meeting materials, agendas, and take minutes across key strategy and sales meetings
- Act as a liaison between the CEO and internal/external stakeholders, including clients
- Coordinate the CEO's involvement in conferences, events, and business development activities
- Maintain contact databases, track meeting actions, and manage key timelines
- Assist with marketing and communications projects alongside the Head of Marketing
- Ensure the CEO is fully briefed and punctual for all engagements
- Handle the CEO's monthly expenses and liaise with the Finance team
- Manage sensitive personal tasks for the CEO and his family (e.g., travel, household admin, gifts, bills)
What You'll Need:
- At least 3 years' experience as an Executive Assistant or PA, ideally supporting a CEO or Founder
- Experience working in architecture, design, or property sectors is desirable but not essential
- Strong multitasking, time management, and communication skills
- Resourceful, self-motivated, and calm under pressure
- Able to maintain high levels of confidentiality and professionalism
- Confident using Microsoft Office and comfortable managing digital filing and databases
