What you'll do:
As an Executive Assistant based in Canary Wharf, you will play a pivotal role in supporting senior Managing Directors within the Risk Management division. Your day-to-day activities will involve managing intricate schedules across multiple time zones, acting as a reliable first point of contact for both internal teams and external partners. You will coordinate travel arrangements down to the finest detail, process expenses promptly, prepare polished meeting materials using Microsoft Office applications, and ensure that every aspect of diary management runs smoothly. Your ability to communicate effectively with stakeholders at all levels will be crucial as you provide administrative support during international visits or recruitment drives. By collaborating closely with fellow assistants and demonstrating exceptional organisational skills, you will contribute significantly to the overall efficiency of the team while upholding the highest standards of confidentiality and professionalism.
- Proactively manage complex diaries for senior managers, ensuring seamless scheduling by prioritising time-sensitive meetings and resolving conflicting requests with confidence.
- Act as the primary point of contact for all incoming requests directed at the teams you support, providing clear communication and dependable assistance at all times.
- Deliver comprehensive telephone coverage for assigned leaders as well as providing backup support for other assistants' phone lines when required.
- Coordinate all aspects of business travel including booking flights, accommodation, ground transport, and preparing detailed itineraries for senior stakeholders.
- Process expenses efficiently and handle payment of vendor bills with accuracy, ensuring compliance with internal policies and timely reimbursement.
- Prepare high-quality materials for both internal and external meetings such as PowerPoint presentations, Word documents, Excel spreadsheets, and print packs as needed.
- Collaborate closely with other assistants in the department to manage room bookings and ensure smooth logistics for meetings and events.
- Oversee inbox management on behalf of managers when requested, ensuring prompt responses to important communications and effective prioritisation of messages.
- Provide full administrative support during visits from overseas colleagues, including meeting coordination and on-site assistance as necessary.
- Assist hiring managers by organising interviews, liaising with HR teams, and supporting recruitment processes; offer coverage for other admin assistants during periods of absence.
