What’s The Role
Deliver effective, efficient, and proactive administrative support to the Vice President of Global Lubricants Supply Chain. Assist with all business activities, including day-to-day operations, leadership team coordination, and long-term business planning, while handling highly confidential matters.
What You’ll Be Doing
As the Management Assistant, you are expected to maintain strong connects and alignment between Management Assistants globally. Additionally, your role would be expected to work closely with the Management Assistant of other key stakeholders in the team, providing coverage and vice versa as and when necessary.

What You’ll Be Doing
As the Management Assistant, you are expected to maintain strong connects and alignment between Management Assistants globally. Additionally, your role would be expected to work closely with the Management Assistant of other key stakeholders in the team, providing coverage and vice versa as and when necessary.
- Provide effective, efficient, and pro-active administrative support to the VP, dealing with matters of a highly confidential nature
- Develop and maintain a sound understanding of business activities and objectives to be able to provide required information
- Manage and maintain complex diary coordination for the VP through planning / coordinating and arranging internal and external meetings, considering purpose, importance, impact and various complex and comprehensive boundaries and interfaces
- Scan and review e-mail and take appropriate actions on behalf of VP, take phone calls and follow up general inquiries
- Arrange timely, detailed, and accurate logistics for forthcoming travels including proactive and timely arrangements in a cost/business efficient manner
- Communications, collect general data from Leadership Team members and share it on behalf of the VP. Update and maintain the distribution list. Serve as the IT focal point within the team and manage the on/off boarding process for VP staff.
- Coordinate and ensure receipt of relevant briefing papers for forthcoming meetings/travel
- Deal with and maintain a record of expense claims. Facilitate timely payment of all invoices received
- Set-up of Video Conferencing, Audio Conferencing and Web Conferences
- Proficient in administrative and secretarial tasks. Preferably with exposure to corporate or global environment
- Working to a global calendar with solid understating of time-zone challenges when scheduling meetings
- Effective communication, proactive engagement and Customer 1st mind-set are essential skills for this position
- Good grasp of day-to-day IT technology is necessary - experienced in MS office applications
- Excellent organizational and collaborations skills are key requirements
- Work independently while managing priorities and workload, demonstrating initiative, flexibility, efficiency, tact, and diplomacy
- Excellent interpersonal skills both face to face and on the phone
- Excellent English language skills. Can communicate and establish positive relationships at all levels
- Confidentiality and ability to handle highly sensitive situations with diplomacy and tact
- Fast paced environment. The ability to work under pressure and cope with last minute changes is essential. At peak times, flexibility in working hours outside the normal work pattern will be required by the incumbent to ensure full support is maintained. Interface with high level individuals internal and external to Shell
