Pastoral Manager – Summer Programme

My client is seeking experienced Pastoral Managers to support the delivery of a large, high-profile summer school for 16–17-year-old international students. They are looking for individuals with strong experience working with young people, ideally in supervisory roles on large summer programmes or within education settings. You must be confident making safeguarding decisions, communicating clearly, and working effectively in a fast-paced environment.
Pastoral Managers will lead teams of staff, make informed decisions around programme delivery and safeguarding, and help coordinate a busy schedule of social activities. The role also involves managing pastoral mentors, who act as the first point of contact for students during evenings and weekends.
Key Responsibilities
- Lead and supervise up to 50 pastoral mentors, running daily briefings, allocating shifts, and monitoring attendance and conduct
- Maintain accurate records of mentor working hours and manage the sign-in/sign-out process for payroll
- Oversee the social programme during weekday evenings and weekends
- Manage breakfast and dinner sittings, ensuring dietary needs are met and groups attend on schedule
- Support the pastoral wellbeing of students and mentors during evenings and weekends
- Assist senior staff with safeguarding, risk assessments, and behaviour-related procedures, including taking initial statements
- Follow safeguarding and risk-assessment guidelines to ensure the safety of all participants
- Report incidents or concerns appropriately and follow up as directed
- Represent the organisation professionally to prospective applicants
- Attend mandatory training and preparation sessions before the programme
- Carry out additional duties as required to support smooth programme delivery
Working Hours
This is a residential role with shift work and participation in an overnight on-call rota. One unpaid day off is included during the programme.
Core hours across the two-week programme total 94.5 hours, including:
- Evening shifts (approx. 3pm–midnight)
- Morning check-ins (approx. 7am–10am)
- Weekend shifts (between 7am–midnight)
- A shorter final-day shift (approx. 6am–2pm)
Specific shift patterns will be confirmed in advance. Flexibility is essential, as hours may exceed the core allocation.
On-call duties run from the end of the final evening shift until 7am and are not included in core hours.
Mandatory paid training and preparation sessions take place before the programme. One unpaid rest day will be scheduled (not on the first or last day). A full rota will be provided in advance and may be subject to change.
Core hours are guaranteed only when full responsibilities are met. If removed from the programme, only hours worked will be paid. All staff must follow the employer’s Casual Hours Agreement.
