This is a fantastic opportunity to join a highly regarded luxury consultancy specialising in the delivery and management of exceptional residential and hospitality projects for an international private client base. Working behind the scenes, they provide a seamless, highly personalised service, supporting some of the world's most prestigious properties and developments.

Due to an exceptionally busy period, they're looking for a Coordinator to join the Client Services team on a 4-month fixed-term contract, providing essential administrative, operational and logistical support across a variety of projects. Whilst this is primarily an administrative role, it offers excellent variety and the opportunity to become involved in project coordination, supplier management and a range of bespoke client requests.

We're looking for someone who is organised, proactive and enjoys being the person that keeps everything running smoothly behind the scenes. You'll be naturally adaptable, happy to turn your hand to whatever is needed and enjoy working as part of a close-knit, supportive team. Personality is just as important as experience - the successful candidate will be energetic, enthusiastic and genuinely keen to help wherever they can.

This is a fast-paced environment where priorities can change quickly, so we're looking for someone who thrives when busy, enjoys variety and takes pride in delivering work to an exceptionally high standard. Experience within administration is essential, whilst exposure to luxury property, hospitality, concierge, yachting or similar client-focused environments would be advantageous but certainly not essential.

The core office hours are 9:00am-5:30pm, Monday to Friday, based full-time from the company's Waterloo office. Due to the immediate business need, priority will be given to candidates who are available to start as soon as possible.

DUTIES TO INCLUDE:
  • Providing comprehensive administrative and operational support to the Client Services team.
  • Managing data entry, maintaining databases and ensuring records remain accurate and up to date.
  • Raising purchase orders, processing invoices and supporting general financial administration.
  • Coordinating domestic and international travel, accommodation and itineraries.
  • Supporting ongoing projects through research, sourcing products and supplier liaison.
  • Assisting with bespoke client requests, including arranging services, sourcing items and coordinating deliveries.
  • Liaising with suppliers, contractors and internal teams to ensure projects and requests are delivered efficiently.
  • Monitoring inventory systems and maintaining accurate records.
  • Supporting the wider team with ad hoc projects and administrative tasks as required.
  • Helping to ensure the smooth day-to-day running of a busy Client Services function.
ESSENTIAL CRITERIA
  • Previous experience within an administrative, team support, coordinator or PA role.
  • Excellent organisational skills with exceptional attention to detail.
  • Confident managing multiple tasks and changing priorities within a fast-paced environment.
  • Strong communication skills with a professional and polished approach.
  • Proactive, adaptable and willing to support wherever required.
  • A positive, enthusiastic attitude and genuine team-player mentality.
  • Experience within luxury property, hospitality, concierge, yachting or similar high end sectors would be advantageous but is not essential.
  • Proficient in Microsoft Office, including Outlook, Word and Excel.
  • Strong, verifiable references.
  • Right to work in the UK.
  • Priority will be given to candidates available to start immediately or on short notice.
