Position Description

This position is responsible for managing the facilities and administration teams for CSI offices in EMEA. This is a key role involving both internal and externalinteractions.

Key Areas of Responsibilities

  1. Premises Management, including:
  2. liaising with building management
  3. complying with all appropriate regulations and legislation
  4. organising emergency officers (fire, first aid etc.)
  5. Managing reception / other administration staff in London and other CSI offices in EMEA.
  6. Liaising with the CACS / other teams to ensure smooth running of in-house event.
  7. General office administration including:
  8. monitoring / ordering supplies
  9. provision / maintenance of equipment
  10. management of outsourced services
  11. collection / distribution of mail and couriers etc.
  12. General office maintenance
  13. Organisation and management of record retention system i.e. archiving and filing of Company records
  14. Managing the ordering of stationery, including business cards / other office supplies and kitchen supplies
  15. Management Representative responsible for developing, implementing, improving and reporting on Environmental Management System (EMS)
  16. Contributing to the smooth and efficient administration of the office
  17. Other ad hoc duties as required

Requirements

  1. A bachelor’s degree or above is required
  2. Candidates must have previous experience in a similar role, including experience managing staff
  3. Strong written and verbal communication skills are essential
  4. The role requires a practical and solutions-focused approach to problem-solving
  5. A good technical understanding of M&E systems is required
  6. Candidates should demonstrate strong interpersonal skills and the ability to work effectively as part of a team
  7. An awareness of cost control and commercial considerations is expected
  8. Good understanding of the legal and regulatory environment is important
  9. Experience operating in a regulated environment would be advantageous
  10. Proven ability to balance technical and commercial priorities is preferred
