A global investment bank is seeking a highly organised and proactive Office Manager to play a key role within their Property & Corporate Services (P&CS) department. This is an excellent opportunity for a professional who enjoys working across multiple business functions and is passionate about improving processes, managing data, and driving operational excellence.

This role combines traditional property and facilities administration with a modern focus on data management, reporting, and AI-led innovation. You'll work closely with senior stakeholders across the UK and internationally, helping to ensure the effective delivery of both hard and soft services while supporting strategic departmental initiatives.

This is an initial 12-month contract with potential for longer term opportunities, the role is based in the City of London with a hybrid working model of 4 days a week in the office and 1 day working from home. The daily rate for the role is up to £257 per day via an Umbrella company (inside IR35).


Key Responsibilities

Property & Facilities Management

  • Support the delivery of departmental objectives alongside the wider P&CS management team
  • Maintain and manage property services administration activities
  • Manage business rates tracking and payments
  • Oversee insurance policy administration and annual renewals
  • Liaise with landlords, building management teams, suppliers, and external advisors
  • Support business continuity planning and maintain associated documentation
  • Coordinate cross-functional activities to support operational effectiveness

Reporting & Data Management

  • Produce and maintain monthly KPI reporting
  • Support the delivery of management dashboards and departmental reporting
  • Analyse data and provide meaningful insights and recommendations
  • Maintain accurate records and management information
  • Support ESG (Environmental, Social and Governance) initiatives and reporting requirements

Administration & Stakeholder Management

  • Provide administrative support to the Head of Property & Corporate Services
  • Maintain departmental policies, procedures, organisational charts, and intranet content
  • Manage departmental holiday and absence records
  • Coordinate activities with international offices and key stakeholders
  • Work collaboratively with colleagues across Property, Facilities, Finance, IT, and Corporate Services functions

We are looking for an organised and detail-oriented professional who can manage multiple priorities while maintaining excellent levels of accuracy and customer service.

Essential Experience & Skills

  • Experience within property services, facilities management, office management, or a similar environment
  • Experience producing reports, analysing data, and presenting findings
  • Strong administrative and organisational skills
  • Experience coordinating activities across multiple teams and stakeholders
  • Numerate and financially aware
  • Excellent communication and interpersonal skills
  • Ability to work independently with minimal supervision
  • Strong prioritisation and time management skills
  • Strong attention to detail and record-keeping capability
  • Adaptable and open to implementing change and new technologies
