Our client, a global professional body and registered charity, is seeking a proactive and highly organised Executive Assistant to support their Chief Executive. This is a pivotal role, acting as the first point of contact for the Chief Executive and providing comprehensive secretarial and administrative support to help deliver our client's strategic objectives.
This role is full time (36 hours per week) and is hybrid - 2 days in the London office and 3 working from home. You will also need to work 1 day every fortnight at our client's Bracknell office.
Key Responsibilities
- Act as the central point of contact for the Chief Executive, managing all telephone, email, and postal enquiries, and triaging queries as appropriate.
- Manage the Chief Executive's diary, appointments, and travel arrangements, ensuring efficient use of time and resources.
- Organise and coordinate meetings, including Leadership Team and Management Board meetings, preparing agendas, papers, and taking formal minutes.
- Support the preparation of the annual budget, forecasting, and rebudgeting.
- Liaise with internal and external stakeholders, including Trustees, Officers, staff, and external organisations.
- Process expenses, purchase orders, and invoices.
- Work closely with the CEO Communications and Relationships Manager to deliver a strategic approach to meetings and engagements.
- Maintain confidentiality and handle sensitive information with discretion.
About You
- Proven experience as an Executive Assistant supporting a busy Chief Executive or similar senior leader.
- Excellent organisational skills with the ability to plan, prioritise, and manage multiple tasks in a fast-paced environment.
- Strong verbal and written communication skills, with confidence to interact at all levels inside and outside the organisation.
- Advanced digital skills, particularly in MS Office (Word, Excel, Outlook, PowerPoint, SharePoint) and CRM systems; experience with Microsoft Teams is an advantage.
- High attention to detail, with the ability to accurately edit and proofread documents.
- Ability to work proactively, independently, and collaboratively as part of a team.
- Experience in handling confidential information and maintaining absolute discretion.
- Experience in taking formal minutes and circulating meeting papers.
