On Behalf of Arup, we are looking for a Team Coordinator for an initial 6 month contract based in London. Hybrid, with 3 days per week required on-site.
Purpose of the role
Arup are looking for a Team Coordinator to join their UK Security Vetting Coordination Team, providing high-quality administrative and coordination support across security vetting and project activities.
You'll work closely with Security Controllers, Team Coordinators, project teams and external stakeholders to help manage vetting processes, maintain accurate and confidential records, coordinate team activities and ensure work progresses efficiently and in line with security and GDPR requirements.
What you'll do
* Support and coordinate BPSS applications and ongoing personnel vetting activities.
* Track vetting applications and your own workload, ensuring actions and follow-ups are completed on time.
* Maintain accurate and secure records, handling personal and sensitive information appropriately.
* Support the management of the security mailbox, prioritising emails, identifying actions and escalating queries where required.
* Arrange and support meetings, take clear notes and track actions through to completion.
* Liaise with internal project managers, bid teams, support teams and external client vetting contacts.
* Assist with clearance renewals, site passes and vetting requirements linked to projects and bids.
* Support the preparation of documentation, including security and policy-related materials.
* Manage competing priorities independently, identifying issues or pressure points and escalating where appropriate.
* Support compliance with internal security procedures, client requirements and GDPR.
The Skills you'll need
* Previous experience in a Team Coordinator, Team Administrator or similar administrative role.
* Strong administration experience, ideally gained within a large professional services or business services organisation.
* Excellent attention to detail and a high level of accuracy.
* Strong organisational and time management skills, with the ability to manage multiple priorities.
* Confident written and verbal communication skills.
* Strong Microsoft Office skills, including Outlook, Word, Excel, PowerPoint and Teams, with SharePoint experience advantageous.
* Experience handling confidential or sensitive information with discretion and integrity.
* A proactive and organised approach, with the confidence to take ownership of tasks and work with limited supervision.
* Strong problem-solving skills and the ability to use initiative.
* An approachable and collaborative style, with the ability to build positive working relationships across different teams.
* Previous knowledge of personnel vetting or security processes would be advantageous but is not essential.
