Hours: 9.15am – 5.45pm, Monday to Friday
Salary: £30,000pa-£35,000pa DOE
We are recruiting an experienced HR & Office Administrator to join our client, a private office in SW1.
This is a varied and responsible position combining HR administration with the day-to-day coordination of a busy office. We are looking for someone who is confident, personable and highly organised – someone who enjoys being the person colleagues can rely on to get things done. Experience with HR administration required.
Reporting to the Head of HR, you will provide administrative support throughout the employee lifecycle while also helping to ensure the smooth running of the office.
The environment is professional and close-knit, so alongside strong administrative skills, personality and resilience are particularly important.
What will you be doing?
HR Administration
You will provide comprehensive administrative support to the HR function, including:
- Drafting contracts of employment and other employment documentation
- Supporting reference and background checks
- Coordinating the onboarding of new employees, including preparing induction packs and meeting new starters
- Issuing probationary review reminders and ensuring relevant documentation is completed
- Maintaining accurate employee information within the HR database and time & attendance system
- Monitoring absence records, producing regular reports and highlighting relevant issues
- Assisting with monthly, fortnightly and seasonal payroll administration
- Issuing pension auto-enrolment communications
- Supporting the administration of employee benefits, including private medical insurance
- Processing expenses and supporting joiner and leaver administration
- Assisting with disciplinary and grievance administration
- Supporting Health & Safety administration and routine office checks
- Booking staff training including first aid, fire marshal and IT training
- Producing HR reports as required
- Supporting leave administration and associated payroll documentation
Alongside your HR responsibilities, you will be an important point of contact for general office administration.
Duties will include:
- Acting as the office's go-to person for day-to-day administrative support
- Providing basic IT assistance and helping resolve straightforward queries
- Providing secretarial cover in the absence of the PA
- Providing Reception cover during breaks and arranging temporary holiday cover when required
- Supporting the management of the company's archive database and liaising with the external archive provider
- Helping to organise staff events, including the annual Christmas party
- Taking ownership of general administrative tasks to help ensure the office runs smoothly
We are looking for someone with proven administration experience, ideally with exposure to HR administration or a role involving a combination of HR and wider office responsibilities.
You will be:
- Highly organised with excellent attention to detail
- Self-motivated and able to take ownership of your workload
- Confident, personable and an excellent communicator
- Resilient and comfortable working with a range of personalities
- Able to use initiative and recognise what needs doing without always waiting to be asked
- Discreet and trustworthy when handling confidential information
- Comfortable juggling competing priorities in a busy office
- Happy working as part of a close-knit team while also working independently
- Strong with IT and Microsoft Office, with particularly good Excel skills preferred
