Are you organised, proactive, and enjoy a varied role where no two days are the same? We are looking for a Facilities Assistant & Mailroom Operative to join our team providing essential support across facilities management, mailroom operations, workplace services, and health & safety.



The Role

As a Facilities Assistant & Mailroom Operative, you will support the Facilities Management team with the smooth day-to-day running of the site. This is a hands-on position involving facilities administration, contractor coordination, room set-ups, post management, and ensuring the workplace remains clean, safe, and well-maintained.



Key Responsibilities

Managing incoming and outgoing mail, deliveries, and courier services

Carrying out daily housekeeping and facilities inspections

Monitoring reception, office floors, breakout spaces, washrooms, and communal areas

Supporting meeting room bookings, room set-ups, and company events

Assisting with contractor and supplier management, ensuring compliance documentation is up to date

Monitoring facilities requests through shared inboxes and helpdesk systems

Supporting starters, leavers, and office moves

Ordering stationery and maintaining workplace supplies

Completing health & safety checks and supporting fire safety procedures

Providing general administrative support to the Facilities team



About You

  • Previous experience in Facilities, Mailroom, Workplace Services, Office Support, or a similar role
  • Excellent customer service and communication skills
  • Good IT skills and comfortable using Outlook and Microsoft Office
  • Able to prioritise workload and work independently
  • Reliable, professional, and proactive
  • Comfortable with manual handling and setting up meeting/event spaces
