Your new role
Play a key role in supporting the operation of the business by providing proactive administrative, compliance, and business support services to the Regional Director and wider team. This role is responsible for coordinating office workflows, supporting bid and proposal submissions, maintaining accurate documentation and management systems, and ensuring compliance with quality, health, safety, environmental, and operational standards. By delivering exceptional organisational support and streamlining processes, the Office Administrator contributes to business growth, operational excellence, and a high standard of client service.
Key Responsibilities
- Provide proactive administrative support to the Regional Director and wider team, ensuring smooth day-to-day office operations
- Coordinate, monitor and prioritise workflows to ensure deadlines and business objectives are achieved.
- Assist with the preparation of fee proposals, bid submissions and tender documentation to support business growth.
- Support technical teams in producing compliant and high-quality bid responses that meet client requirements.
- Maintain and update proposal templates, CV libraries, tender response content and other business development materials.
- Ensure accurate document control and management of company records, policies and compliance documentation.
- Coordinate internal and external audits while maintaining ISO management system accreditations and compliance standards.
- Administer SHEQ processes, including training records, inductions, inspections and continual improvement actions.
- Organise and facilitate office health, safety and environmental activities, including committee meetings, training and emergency preparedness initiatives.
- Deliver exceptional internal and external customer service by streamlining communications, supporting stakeholders and promoting a professional company image.
What you'll need to succeed
- Minimum of 5 years' experience in an administrative or office support role.
- Previous experience supporting senior managers or leadership teams in a fast-paced business environment.
- Experience with bid submissions, tender documentation, or proposal coordination is highly desirable.
- Knowledge of SHEQ (Safety, Health, Environment and Quality) processes and compliance requirements is advantageous.
- Strong organisational skills with the ability to manage multiple priorities and meet deadlines.
- Experience maintaining accurate records, document control systems, and administrative processes
