An opportunity has arisen for an experienced Patent Paralegal/Secretary to provide essential support to Patent Attorneys and the wider team. The role would suit someone who is organised, proactive and comfortable managing competing priorities, with the ability to work independently while ensuring cases progress efficiently and important deadlines are met.
Responsibilities
- Review incoming post and faxes, identifying urgent correspondence and work requiring Paralegal attention
- Provide day-to-day secretarial and Paralegal support, including audio and copy typing, preparing standard correspondence and raising client invoices
- Manage incoming work independently, ensuring tasks are handled accurately and efficiently
- Maintain and update case reminders to ensure Patent Attorneys are aware of key dates and deadlines
- Coordinate diaries, arrange appointments and keep track of Patent Attorneys' schedules
- Monitor emails and take messages when Patent Attorneys are unavailable, ensuring urgent matters are passed to an appropriate colleague
- Allocate tasks to Paralegal Assistants and provide guidance and informal training where required
- Maintain and organise case files, ensuring records are accurate and up to date
- Monitor deadlines and prioritise urgent work to ensure legal time limits are met
Requirements
- At least two years' experience in Patent Paralegal or Secretarial work, ideally within a busy professional environment
- Excellent attention to detail and the ability to maintain concentration when handling important and time-sensitive work
- A methodical and logical approach to tasks, with the ability to follow processes accurately
- Strong organisational skills and the ability to manage changing workloads, competing demands and tight deadlines
- Flexibility to move between tasks and adapt to the needs of different Patent Attorneys, colleagues and clients
- Excellent written and verbal communication skills
- The ability to build effective working relationships with colleagues and clients
- Confidence working independently and completing routine tasks without close supervision
- A positive attitude towards learning, developing new skills and taking on additional responsibilities
