Office Manager

City of London | Asset Management | £40,000–£45,000

An exciting opportunity for an experienced Office Manager to join a professional asset management firm in the City of London.

This is a key position for someone who enjoys taking responsibility, thrives in a varied role and understands the importance of creating an efficient, well-organised and welcoming workplace. You’ll be responsible for the day-to-day running of the office, providing support to the wider team and ensuring clients, visitors and colleagues receive a first-class experience.

From facilities and office administration to meeting coordination, staff events and company retreats, this role offers plenty of variety and the opportunity to make a real difference.

The role

Office operations and facilities

  • Oversee the daily running of the London office, ensuring reception is staffed and the workplace operates efficiently.
  • Welcome visitors and manage incoming calls, post, deliveries, couriers and general reception enquiries.
  • Coordinate meeting rooms, prepare spaces for client meetings and arrange refreshments, catering and supporting materials.
  • Manage office supplies, stationery, kitchen provisions, fruit and flowers, as well as printing, copying and document binding.
  • Act as the main contact for colleagues requiring office support and coordinate equipment for new starters and home working.
  • Maintain effective relationships with the building management team, cleaning staff, contractors and maintenance providers.
  • Arrange repairs, servicing and general upkeep, obtaining quotations for work such as decorating, lighting, carpet cleaning and equipment replacement.
  • Coordinate facilities requirements, including air conditioning, fire alarm inspections, electrical equipment testing, pest control and routine office checks.
  • Oversee first aid provisions, fire safety arrangements, relevant training and workplace notices, undertaking designated fire marshal and first aider responsibilities following appropriate training.

Meetings, events and employee experience

  • Arrange internal meetings, prepare documentation and manage room bookings, adjusting schedules where necessary to accommodate client priorities.
  • Plan and deliver two annual company retreats, overseeing venues, accommodation, travel arrangements, catering, agendas, communications and event logistics.
  • Coordinate the firm's social programme, including the annual Christmas party and other staff events.
  • Contribute to employee engagement activities and initiatives that help create a positive working environment.

About you

You’ll bring previous experience in office management, facilities coordination or a similar position, ideally gained within asset management, financial services or another professional services environment.

You’ll be confident dealing with people at all levels, with a polished and approachable manner and excellent written and verbal communication skills. Discretion is essential, as is the ability to handle confidential information with care.

Above all, you’re a natural organiser who takes ownership, anticipates what needs doing and deals with challenges pragmatically. You can manage multiple priorities, remain composed when plans change and work independently while collaborating effectively with the wider team.

Strong working knowledge of Microsoft Word, Excel and PowerPoint, together with excellent spelling and attention to detail, is essential.

The opportunity

Join a City-based asset management business in a varied, visible role where your contribution will be central to the smooth running of the office and the experience of both employees and visitors.

Salary: £40,000–£45,000, depending on experience.
