Conference & Events Coordinator

£35,000

London

We are seeking a talented Conference & Events Coordinator to join a dynamic, high-performing team, supporting the delivery of prestigious meetings, conferences, corporate events, dining experiences and training programmes.

The ideal candidate will have previous experience in a similar role, exceptional organisational skills and the confidence to communicate effectively with clients and stakeholders at all levels. You will be highly adaptable, flexible and able to remain calm and professional under pressure, with the ability to manage competing priorities and tight deadlines.

This is a busy, desk-based position involving a high volume of booking enquiries and requests, so you'll need to be organised, efficient and thrive in a fast-paced environment where no two days are ever the same.

This is an exciting opportunity for someone who takes genuine pride in delivering outstanding service, has an exceptional eye for detail and enjoys building strong, positive relationships with clients, colleagues and service partners.

Duties will include:

  • Managing incoming telephone and email enquiries, bookings and requests for meetings, events, dining and training.
  • Coordinating the full event planning process, from initial enquiry through to delivery, ensuring rooms, catering, registration and technical requirements are confirmed within tight deadlines.
  • Building strong working relationships with clients, project managers, business stakeholders and internal service teams.
  • Liaising with catering, culinary, facilities, multimedia and external suppliers to ensure every event is delivered flawlessly.
  • Managing forward bookings and optimising the use of meeting rooms and event spaces.
  • Maintaining accurate booking systems, event calendars, reports and records.
  • Providing knowledgeable advice on catering menus, room layouts, technical requirements, costs and event protocols.
  • Reviewing daily and future event schedules, identifying potential issues and proactively resolving service requirements.
  • Supporting last-minute requests and ensuring effective communication across all relevant teams.
  • Attending client meetings, site visits, event briefings and pre-conference calls.
  • Contributing to regional projects, training initiatives and continuous service improvements.
  • Producing regular reports and ensuring global service standards and procedures are consistently maintained.
