Guarantees Coordinator

Reporting to: Head of Trade Services

Our client an international Investment Bank currently seek a Guarantee Coordinator to join their busy Operation team.

The role is required to ensure the correct and most efficient process and prompt administration of Bank Guarantees to meet customer service standards, as directed by senior team members.

Responsibilities and Duties:

1. Process instructions from customers, branches and other banks accurately within agreed turnaround times, as directed by senior team members.
2. Handle all guarantee administration, including the daily list of periodic commissions to debit or claim from customers and banks.
3. Send all correspondence relating to guarantee issuance promptly to the required parties.
4. Share responsibility for notifying the Settlement Department of fund movements before the specified cut-off times.
5. Share responsibility for regularly archiving closed files and retrieving them when needed.
6. Help resolve queries about work processed by the section.
7. Perform other Trade Services processing duties as required by the Deputy Head or Head of Trade Services.
8. Help clear outstanding Nostro items relating to guarantees as a shared responsibility.
9. Conduct initial reviews of guarantee texts when required and report findings to senior staff for further action.

Risk and Regulatory Responsibilities

1. Stay informed about and comply with all applicable regulatory requirements and the Bank’s Risk and Compliance policies and procedures.
2. Report actual or suspected policy, procedure or regulatory breaches to the Deputy Head or Head of Trade Services.
3. Apply all controls within your area accurately to minimise the risk of policy, procedure or regulatory breaches.
4. Identify new risks or control gaps within your area and escalate them to the Deputy Head or Head of Trade Services.

Financial Crime Responsibilities

1. Serve as the “First Line of Defence”.
2. Apply Financial Crime Prevention controls accurately in line with the Bank's and Departmental policies and procedures.
3. Carry out Due Diligence or Enhanced Due Diligence (EDD), as applicable, on all parties to Trade transactions and keep appropriate records.
4. Watch for unusual or suspicious transactions and report any suspicions to the MLRO.
5. Comply with the Bank’s AML, Financial Crime and Anti-Terrorism policies and procedures.

Training and Competence

1. Keep your working knowledge of URDG and ISDGP up to date.
2. Complete all mandatory annual regulatory training in line with the Bank's training plans and deadlines.
3. Proactively pursue the recommended technical and behavioral competency training required for your role.
4. Comply with the FCA/PRA Code of Conduct.

Required Qualifications, Knowledge, Skills and Experience:

1. Five GCSEs or an equivalent level of education, plus minimum 2 years relevant industry or general office experience.
2. IT proficiency in Excel, Word, spreadsheet and database applications.
