Clariness is looking for a Printing & Shipping Coordinator (f/m/d) based in UK or Germany (Berlin/Hamburg).

  • Full-time; unlimited -

We are seeking a highly organized and detail-obsessed Printing and Shipping Coordinator to manage the end-to-end production and distribution of clinical trial materials, including items such as patient-facing brochures, healthcare provider (HCP) materials, and mini protocols. This role is essential to ensuring the accuracy, compliance, and timely delivery of critical study materials across global sites. The role plays a key part in implementing process improvements, supporting SOP development, and assisting with the training and onboarding of new team members.

As a Printing & Shipping Coordinator (f/m/d), you would be responsible for:

  • Leading a small team (up to 5 people) responsible for coordinating the intake of complex information from sponsors and study teams.
  • Tracking production and shipping progress with precision, maintaining clear, real-time communication with sponsors, CROs, and internal stakeholders.
  • Serving as the primary liaison with external printing and shipping vendors, managing expectations and timelines.
  • Ensuring version control, quality assurance, and compliance checks are rigorously maintained prior to print and distribution.
  • Monitoring and managing inventory, reordering materials as needed.
  • Managing invoicing for printing and shipping services, ensuring accuracy and timeliness.
  • Continuously assessing and improving tracking tools and operational workflows to enhance efficiency and minimize errors.

We would like you to have:

  • Exceptional Excel skills – able to manage complex spreadsheets, formulas, trackers, and reports with ease.
  • Impeccable attention to detail – you spot inconsistencies others miss and take pride in getting it right every time.
  • Experience in printing coordination, logistics, or document management (preferably in life sciences or clinical trials).
  • Strong organizational and project management skills, with the ability to juggle multiple timelines and tasks.
  • Proven leadership experience managing or mentoring small teams.
  • Excellent written and verbal communication, with strong stakeholder and vendor management capabilities.
  • Proficiency in Microsoft Office and familiarity with inventory, logistics, or invoicing systems.
  • Prior experience with clinical trial documentation and processes and knowledge of GCP requirements and regulatory standards for patient and HCP materials are plus.
