Purpose of the Role

We are looking for a professional, friendly, proactive and customer centric Receptionist to join our front of house team in our recently constructed modern offices to create a welcoming and helpful presence to AEGIS London employees and all external visitors and third parties. This position offers variety and will amongst other things look to guide and assist with events, catering, storage, stationery and all other matters connected with keeping the office running efficiently to the required standards. This position will suit someone with relevant experience in the field who thrives working in a professional environment.

Duties And Accountabilities

  • Meet and greet all coming to reception and take calls from those dialling in with professional courtesy. Assist with room bookings and finding solutions where required
  • Monitor and order stock of items for our kitchen and for any on-site events and help with the logistical elements involved
  • Carry out new starter inductions and process leavers by removing from Paxton access system. Follow compliance procedures in respect of building passes
  • Oversight of the day cleaner to ensure the office and meeting rooms are always presentable
  • Alert the facilities manager with any issues/hazards in the office
  • Assist with arranging business travel for employees, including flights, hotels and taxis with the aid of our travel agent
  • Keep the stationery cupboard stocked and reorder when necessary, arrange collection of confidential waste and arrange off-site document storage
  • Raise POs on workday and receipt/approve deliveries/invoices
  • Carry out all other general duties for the Facilities office such as scanning etc and assist the facilities manager when required. Assist with Ad-hoc and company events where required

Skills, Knowledge And Experience

The successful candidate will be/have:

  • Demonstrable experience working as a receptionist or similar within a professional corporate office setting
  • Comfortable with learning new software quickly (Workday would be advantageous)
  • Be organised, punctual, responsive and methodical with work and records with a high attention to detail
  • Be engaging and proactive with tasks by being alert to any issues and sharing any ideas with the facilities manager for improving our service
  • Have the ability to multitask, prioritise and able to meet tight deadlines whilst managing expectations
