An exciting opportunity has arisen for a Facilities & Reception Officer to join the team at a well-established organisation based in Canary Wharf.
The successful postholder will play a key role in ensuring the smooth running of the office environment, delivering high-quality facilities management and front-of-house services. This is a varied, hands-on role with responsibility for maintaining a safe, compliant, and welcoming workplace, while also supporting senior facilities operations.
- Support the planning and scheduling of maintenance works, ensuring activities are delivered efficiently and cost-effectively
- Carry out general maintenance tasks, including minor repairs, painting and decorating, and installation of fixtures and furniture
- Manage and respond to facilities requests via the helpdesk, ensuring issues are resolved in a timely manner
- Coordinate contractors and suppliers, ensuring compliance with health & safety and organisational standards
- Conduct routine inspections and maintenance audits to ensure office spaces are safe, operational, and fit for purpose
- Monitor CCTV and access control systems, escalating and resolving issues where required
- Support compliance with Health & Safety regulations across the office environment
- Act as a Fire Marshal and First Aider, responding to emergency situations when required
- Deputise for the Senior Facilities Manager on evacuation and emergency procedures
- Provide reception cover, welcoming visitors and contractors in a professional and friendly manner
- Ensure reception areas, meeting rooms, and office spaces are maintained to a high standard
- Manage visitor access, passes, and records in line with security procedures
- Coordinate meeting room and hearing room bookings, including set-up, AV, and catering requirements
- Support post and courier services, ensuring efficient distribution
- Maintain accurate records, procedures, and facilities documentation
- Provide general administrative support to the Facilities team and assist with team cover where needed
Ideal Candidate Profile
- Previous experience within facilities, office management, or workplace support roles
- Hands-on maintenance experience (e.g., basic electrical, plumbing, or decorating)
- Good understanding of Health & Safety and compliance requirements
- Strong organisational skills with the ability to manage multiple priorities
- Professional, approachable, and customer-focused with excellent communication skills
- Experience working with contractors and managing service providers
- Strong IT skills across Microsoft Office (Word, Excel, Outlook)
- Ability to work both independently and collaboratively within a team

Salary: £29,00 - £33,400 + good benefits
