Property Bookkeeper & Rent Administrator
Aarc Estates is an independent property business based in Wood Green, North London. We own and manage around 70 rental units across multiple property companies.
We are looking for a reliable, organised and detail-focused Property Bookkeeper & Rent Administrator to join us on a part-time basis. The role will mainly involve rent reconciliation, bookkeeping support, Xero administration, invoice processing and first-stage rent chasing.
This would suit someone with Property bookkeeping experience, within property, lettings, housing, estate agency or landlord accounts. Experience with Xero is preferred, and previous exposure to council or housing benefit rent payments would be a strong advantage.
Hours
- Part-time: 15 hours per week
- Monday to Friday, 3 hours per day
- Preferred working window: between 9:00am and 2:00pm
- Some flexibility available for the right candidate
Location
Hybrid role based around Wood Green, North London. Initial office-based training will be required, with flexibility for some remote working once settled.
Key responsibilities
- Reconcile rent payments across approximately 70 rental units
- Match incoming payments to the correct tenant, property and company
- Monitor council, housing benefit and tenant rent payments
- Identify missed, short or misallocated rent payments
- Maintain a clear arrears tracker
- Send first-stage rent reminders by WhatsApp, email and occasional phone call
- Escalate ongoing arrears or complex tenant issues to management
- Reconcile bank transactions in Xero
- Process and code supplier and contractor invoices
- Keep digital records organised and up to date
- Assist with monthly reporting on rent received, arrears and exceptions
- Support the accountant with clean bookkeeping records and queries
- Help improve bookkeeping processes and use digital tools where appropriate
What we are looking for
- Bookkeeping or accounts administration experience
- Experience using Xero, or strong willingness to work with Xero
- Property, lettings, landlord or housing-related experience preferred
- Good understanding of rent payments and reconciliations
- Comfortable handling council or housing benefit payments, or willing to learn
- Confident with Excel or Google Sheets
- Good written communication for tenant reminders
- High attention to detail
- Reliable, discreet and well organised
- Able to work independently and flag issues early
Useful but not essential
- Experience using Dext, Hubdoc, AutoEntry or similar invoice capture tools
- AAT, bookkeeping or accounts qualification
- Experience with property management systems
What this role does not involve
We already have separate people handling compliance and maintenance. This role is focused on bookkeeping, rent reconciliation, rent tracking and light first-stage tenant communication.
Pay
£20 per hour
