What you'll do:

As an Accounts Payable Assistant, you will play a vital role in maintaining the integrity of financial records while supporting the wider finance team.

  • Process supplier invoices accurately and promptly, ensuring all documentation is complete and compliant with company procedures.
  • Match invoices to purchase orders and goods received notes, maintaining clear records for audit purposes.
  • Reconcile supplier statements regularly, identifying and resolving any discrepancies in a timely manner.
  • Prepare and process payment runs according to established financial controls, supporting smooth operations across the finance department.
  • Maintain up-to-date supplier account records, ensuring all information is accurate and accessible for internal stakeholders.
  • Respond to supplier queries with professionalism and empathy, liaising with internal departments as needed to resolve issues efficiently.
  • Monitor outstanding invoices closely, ensuring payments are made within agreed terms to maintain positive relationships with vendors.
  • Assist with month-end and year-end finance processes by providing relevant documentation and supporting accurate reporting.
  • Support audits by preparing necessary records and documentation, contributing to compliance with company policies.
  • Assist with filing, record-keeping, and other administrative finance tasks as required by the team.


What you bring:

To excel as an Accounts Payable Assistant, you bring proven experience from similar roles within finance or purchase ledger environments.

  • Previous experience in an Accounts Payable, Purchase Ledger or Finance Assistant role is essential for success in this position.
  • A good understanding of accounts payable processes enables you to manage invoice processing efficiently.
  • Strong numerical skills combined with excellent data entry abilities ensure accuracy across all financial records.
  • Proficiency in Microsoft Excel and Microsoft Office applications allows you to handle daily tasks confidently.
  • Exceptional attention to detail supports compliance with company policies and financial controls.
  • Effective communication skills foster positive relationships with suppliers and internal teams alike.
  • The ability to prioritise workload ensures deadlines are consistently met without compromising quality.
  • Experience using ERP systems such as S4HANA, Oracle or MS Business Central is desirable but not mandatory.
  • An AAT qualification or studying towards one would be advantageous for further professional development.
  • Experience working within medium or large organisations enhances your adaptability within diverse environments.
