We're looking for an Administration Coordinator / Receptionist to join our growing Willmott Dixon Interiors team, based out of our Old Bailey office in central London, working 5 days pr week in the office. As a main point of contact for visitors, clients and colleagues, you will play a key role in creating a warm, professional and well-organised front-of-house experience. You'll bring strong communication skills, confidence and a proactive, "can-do" attitude. Working collaboratively with the wider administrative team, you will help ensure the smooth running of daily operations while upholding the high standards and values that define our organisation.

Reporting to the Executive Assistant, you'll provide high-quality administrative support across our Interiors business, ensuring our various teams, customers and stakeholders receive an efficient, professional and proactive service. You'll coordinate meetings, manage busy diaries, prepare documentation and act as a trusted point of contact across the business.

This is an excellent opportunity for an organised, proactive and customer-focused administrator, with strong relationship building skills who enjoys working in a fast-paced environment.

Key Responsibilities/Deliverables

Administration & Coordination

  • Coordinate meetings, manage diaries and meeting logistics.
  • Produce accurate meeting minutes and action logs.
  • Prepare meeting packs and documentation.
  • Maintain office administration and databases.

Customer & Business Support

  • Respond professionally to internal and external enquiries.
  • Support the Executive Assistant and wider administration team.
  • Support projects and events.
  • Provide team cover when required.

Collaboration

  • Build strong relationships across the business.
  • Manage multiple priorities with excellent attention to detail.
  • Take ownership of your development.

Essential Skills

  • Prior Administration or Team Assistant experience within a corporate environment.
  • Excellent organisation & diary management.
  • Meeting minute experience.
  • Receptionist experience.
  • Strong Microsoft Office Suite skills.
  • Excellent communication & customer service capabilities.


Front of House & Customer Service

  • Provide a professional, welcoming first point of contact for staff & visitors.
  • Answer and direct calls promptly, taking accurate messages where required.
  • Ensure meeting room booking system is managed effectively.
  • Order and arrange breakfasts and lunches.
  • Book hotels and external meeting rooms.
  • Prepare meeting rooms (catering, AV, layout) and ensure spaces are reset and maintained.

Desirable Skills

  • NVQ Level 3 or equivalent.
